Kyoritsu Seiyaku Privacy Policy

Kyoritsu Seiyaku Corporation (the “Company”) has established the following Privacy Policy (the “Policy”) regarding the handling of personal information of all individuals related to the Company (collectively, the “Parties”), including the Company’s customers, business partners (including their contact persons), job applicants, and employees, in order to appropriately protect such information in accordance with the Act on the Protection of Personal Information (Act No. 57 of 2003, the “Personal Information Protection Act”) and other related laws and regulations (collectively, the “Laws”).

1. Definitions

In this Policy, the term “personal information” is defined as per Article 2, Paragraph 1, of the Personal Information Protection Act. The term “personal data” refers to the definition provided in Article 16, Paragraph 3, while “retained personal data” is defined in Article 16, Paragraph 4, of the same Act.

2. Acquisition of Personal Information

The Company acquires personal information through appropriate methods after clarifying the purpose of use and only when it is provided voluntarily by the Parties.

3. Use of Personal Information

The Company uses personal information only within the scope necessary to achieve the purposes of use listed below, except in cases where the Parties have provided consent or as required by the Laws. Personal information is not to be used for purposes other than those stated below.

・Provision of information on seminars and the information website operated by the Company
・Collection, analysis, and processing of marketing information, as well as its provision in a form that does not identify individuals
・Provision of information regarding animal-related products and services
・Distribution of useful information and newsletters related to animals, as well as conducting animal-related surveys
・Responses and answers to comments and questions
・Various communications, requests, settlements, and product/mail deliveries related to business transactions
・Fulfillment of contracts (including payment collection) and provision of after-sales services

・Execution of proxy services for microchip registration
・Collection of information on rescued cats and dogs and facilitating their adoption to new families

・Document screening, interviews, hiring, onboarding procedures, and correspondence related to recruitment

F: Personal Information Related to Shareholders
・Management of shareholder information in accordance with various laws and regulations
・Preparation of payment statements for dividends and surplus distributions
・Use in exercising the rights and duties of shareholders
・Implementation of various measures to facilitate the relationship between shareholders and the Company

G: Personal Information Related to Officers and Employees
・Internal and external public relations activities in a form that does not identify individuals
・Preparation of identification documents and registration materials for directors
・Attendance management, processing of salary, bonuses, and expense reimbursement, benefits, social insurance procedures, performance evaluations, health management, and safety confirmation

・Other circumstances necessary for the execution of the Company’s business

5. Security Measures

The Company implements the necessary and appropriate security measures to prevent the leakage, loss, or damage of personal data and makes corrections as needed.

6. Outsourcing of Personal Data Handling

The Company outsources the handling of acquired personal data to external parties when necessary to achieve the purposes of use outlined in Section 3 above. In such cases, the Company selects suitable contractors and ensures they are appropriately supervised as required.

7. Provision of Personal Data to Third Parties

The Company does not provide personal data to third parties without the consent of the Parties, except as permitted by the Laws.

8. Inquiries and Requests Regarding Retained Personal Data

If the Parties make a request regarding retained personal data for the notification of the purpose of use, disclosure, correction, addition, deletion, suspension of use, erasure, suspension of provision to third parties, or disclosure of records of third-party provision, the Company responds appropriately in accordance with the Laws.
